Terms and Conditions

Your Agreement with R&A Travel Company LLC (Texas)

Before R&A Travel Company LLC (“R&A Travel,” “we,” “our,” or “us”) can make any travel arrangements on your behalf, we require you to acknowledge and accept the following terms and conditions. Signing or agreeing electronically to these Terms signifies your full understanding and agreement.

1. RESPONSIBILITY

R&A Travel Company LLC, a Texas Limited Liability Company, operates solely as a booking agent for airlines, tour operators, cruise lines, car rental companies, hotels, resorts, and other travel service providers (collectively, “Suppliers”). We are not responsible for acts, omissions, or defaults of these Suppliers or any of their subcontractors, including service interruptions, schedule changes, or contract breaches. By booking through us, you understand that your legal recourse for dissatisfaction lies with the actual service provider, not with R&A Travel.

2. TRAVEL RISKS AND HAZARDS

R&A Travel does not provide advice or warranties about safety, entry requirements, health risks, political stability, or local laws at your travel destination. You are solely responsible for:

  • Verifying passport, visa, vaccination, or other entry requirements.

  • Reviewing travel advisories issued by the U.S. Department of State (travel.state.gov) and health alerts from the CDC (cdc.gov/travel).

We are not liable for any claims, damages, delays, illness, injuries, or losses caused by conditions beyond our control or related to your destination’s health, security, or political conditions.

3. ITINERARY VERIFICATION

Once your booking is complete, you must review your itinerary thoroughly. This includes confirming all names, dates, times, fares, and travel details. R&A Travel is not responsible for issues arising from your failure to verify this information upon receipt.

4. FLIGHT DELAYS, CHANGES, AND CANCELLATIONS

Flight delays, cancellations, and schedule changes are common and entirely under airline control. Airlines are not obligated to cover additional costs such as meals, hotel stays, or alternate transportation due to delays. R&A Travel is not liable for any such expenses.

5. CRUISES, TOURS, PACKAGES, AND RESORT BOOKINGS

Upon booking any cruise, tour, all-inclusive resort, or travel package, we are required to collect a deposit per the Supplier’s terms. We act only as an agent and do not endorse any particular provider. All terms and policies of the provider apply in full. In the event of conflicting terms, this agreement shall control.

6. PAYMENT TERMS AND PLANS

  • Payment Plans: All payment plans made directly with R&A Travel are non-refundable. Funds are immediately allocated to secure travel services and paid to third-party vendors.

  • Final Payment: Final payment must be made by the stated deadline before tickets or documents are released.

  • Refunds: All refund requests are subject to the individual Supplier’s policy. R&A Travel is not responsible for securing refunds from third parties.

7. PAYMENT PROCESSING AND FEES

All payments are securely processed via Square or other third-party merchant services. An 18% processing and administrative fee will be added to the total trip cost, covering transaction costs and support services.

By proceeding with payment, you accept this fee.

8. TICKETING AND EXCHANGE FEES

  • Ticketing Fee: $35.00 per airline ticket for departures more than 30 days from booking; $50.00 per ticket for departures within 30 days.

  • Ticket Exchanges: If a ticket must be reissued or changed, a $20.00 exchange fee applies, plus any airline-imposed fees.

9. CANCELLATION POLICY

If you cancel your trip after confirmation, a $75.00 per person cancellation fee will be charged by R&A Travel, in addition to any cancellation penalties from airlines, cruise lines, or other Suppliers.

10. UNUSED TRAVEL COUPONS/TICKETS

You acknowledge that if a portion of a travel itinerary is unused (e.g., skipping a flight segment), the remainder may be invalidated by the Supplier. R&A Travel is not responsible for any denied service or penalties due to non-use.

11. POWER OF ATTORNEY

You grant R&A Travel the legal authority to act on your behalf in securing travel arrangements, including signing documents and authorizing credit card charges. You agree to be financially responsible for all authorized transactions made under this Power of Attorney.

12. DISPUTE RESOLUTION AND GOVERNING LAW

These Terms are governed by the laws of the State of Texas, without regard to its conflict of laws principles. Any disputes shall be resolved through confidential arbitration in Harris County, Texas. The arbitration shall be final and binding, and may be entered as a judgment in any court of competent jurisdiction.

The parties may agree to use the American Arbitration Association (AAA) or another mutually acceptable arbitration provider.

13. SEVERABILITY

If any provision of this agreement is found invalid or unenforceable, the remaining provisions shall continue in full force and effect.

14. ENTIRE AGREEMENT

These Terms, along with our Privacy Policy, constitute the entire agreement between you and R&A Travel regarding your travel arrangements. No verbal representation or prior written communication shall override this agreement unless specifically amended in writing.

15. RECOMMENDATION TO PURCHASE TRAVEL INSURANCE

R&A Travel strongly recommends purchasing comprehensive travel insurance, including trip cancellation, medical coverage, and travel delay protection. Please indicate on your client intake form whether you wish to receive a quote for insurance coverage.

Additionally, we encourage you to pay via credit card, which may provide additional consumer protections under the Fair Credit Billing Act.

By signing below, you confirm that:

  • You have reviewed and understood all travel components, including dates, airline, destination, documentation, and cancellation/change penalties.

  • All names match the government-issued ID that will be presented at the airport.

  • You agree to these Terms and Conditions in their entirety.
